Organisation and Position Structures

There are 3 key pieces of information within each position in ESR. These are:

  • Organisation (Directorate or Department)
  • Location 
  • Position

To check current organisation (Directorate or Department), location and positions structures, search 'Existing organisation and position structures' below for information about existing organisation/location and positions held within the ESR system.

If you need to find a 'position reports to' number, search 'Existing organisation and position structures' below using the relevant position name.  If you are unsure of the position name you are looking for contact HR Direct who will be able to help.

Existing Organisation and Position structure

The documents below provide details, by directorate, of the existing Directorate/Departments and positions held within the ESR system.

Position

If any of the following details are changing then a new position is needed;

  • Job title
  • Grade
  • Location (base)
  • Department/Cost Centre

If you want to create a new position, and recruitment is not required, use the create/change position form*.

If the new position applies to one or more existing employees then please complete the create new position form (supplementary)*.

If you are recruiting a new employee, follow the standard recruitment procedure.

If the location or department/cost centre does not already exist in ESR then go to Organisation (Directorate/Department) or Location below to make these changes.

Organisation (Directorate/Department)

To amend an existing  or create a new department or location please complete the Create new organisation/location form*.

If the change applies to one or more existing employees then please complete the create new position form (supplementary)*.

Profile Levels

Use the table below (or the link to the Profile Spreadsheet) to find which profile level to attach to a position.  You will need to ensure you agree the profile level with the Budget Manager for the position. 

Each profile level provides;

  • A non-pay approval level for i-procurement
  • Approval access levels for EASY and Expenses (so what the position will be able to see and approve for their direct reports)
  • Identifies those positions that are Budget Managers
