Donor Carer Recruitment  

Reed are a staffing agency who work under a managed service agreement. They are working with us to provide short-term resource for Convalescent Plasma and BD Collection.

The workers will be managed by NHSBT but will be employed by Reed.

Reed Recruitment Process

All Donor Carers supplied via Reed are put through a robust recruitment process in order to select the best possible candidates.

This includes:

  • Aptitude and Personality Tests
  • Screening Call
  • Competency Based Interview – completed via video call

NHSBT have worked closely with Reed to review and test the selection process, including assessing the quality of the interviews and other tests.

Reed Candidate Checks

Following the Recruitment Process, all successful applicants are then subject to Pre-Employment Screening. These must be completed prior to starting.

This includes:

  • Completed DBS application form and relevant documents supplied (Proof of Address & Right to Work in UK)
  • References received from previous/current employer – past 3 years requested
  • Occupational Health – Medical questionnaire completed and reviewed
  • Hep B Vaccination – candidate’s choice to have immunisation/sign disclaimer

Authorising Timesheets

Reed use an online timesheet system. As a manager you will receive log in details to log on and approve any hours that have been submitted.

The worker will submit their hours at the end of each week, an email will be generated for you to log in, check the hours are correct, click approve and the hours will be confirmed*Reed workers are paid weekly, a week in arrears* 

Timesheets MUST be approved by 17:00 each Monday for hours worked the previous week to guarantee payment to the worker the following Friday.

Workers Hours

All Reed workers have been informed that they will be required on a full-time basis, please ensure that they are rostered to work full-time unless you have mutually agreed for them to work less than full-time hours.

Issues with conduct or performance

If you experience any issues regarding any Reed supplied workers, please contact the Recruitment Account Manager. This will then be escalated and dealt with using appropriate measures. 

Claiming Expenses

Any travel expenses incurred travelling to a ‘Host Site’ during a Reed workers training can be claimed back as expenses, this is done using the same online system as submitting timesheets and follows the same approval process.

Any expense claims are subject to NHSBT policy.

Taking Annual Leave

Reed workers accrue holiday allowance based on the amount of hours they work each week. Their holiday year runs from January – December, however due to new government guidelines, this has been extended to allow workers to carry over holiday hours/days.

The worker is to agree annual leave with their line manager and confirm with Reed once approved. Reed employers have been advised on the following:

  • You are advised to consider spreading your annual leave out across the time you are with NHSBT to ensure that you feel the maximum benefit to your own wellbeing, as well as considering others within your location/department, and operational requirements.
  • You will need to provide your manager with reasonable notice, considering operational requirements such as existing rostering or shift patterns.  At a minimum this should be two weeks before leave is taken
  • Each department will have a robust local agreed procedure that ensures fairness and transparency for everyone. It will normally set out details such as ‘how many people may be off at any one time’ etc. Ask your manager about this.  

Sickness Absence 

The worker is to contact both their line manager and Reed to advise of their absence, giving as much notice as possible prior to their shift starting. 

If you have any issues with on-going sickness absence from a Reed worker, please contact the Recruitment Account Manager. 

Worker Self-Isolation 

The worker is to contact both their line manager and Reed to advise of their need to self-isolate, giving as much notice as possible prior to their shift starting and as much information as possible around any potential risks to NHSBT.
